The Systems That Scale: Tools I’m Using to Simplify and Grow in 2026
If there’s one thing I’ve learned in building toward seven figures, it’s this:
You can’t scale chaos you can only scale systems.
Mindset is what keeps you grounded, but systems are what keep you growing.
And while I’m still in the newborn phase of life right now, my business hasn’t skipped a beat because it’s supported by tools, automations, and rhythms that run whether I’m at my desk or not.
So this week, I want to share the exact systems and tools I’m using in 2026 to simplify my business and create space for the work that really matters.
1. Content System: Plan Once, Repurpose Often
Goal: Stay visible without constantly creating from scratch.
Content fuels every part of my business but only because I plan it like an operation, not a guessing game.
Here’s my current setup:
- Notion — my command center. I plan newsletters here a month in advance and social posts 1–2 weeks ahead.
- Canva — my go-to for design (graphics, carousels, and even short-form video layouts).
- Publer — for scheduling across platforms. (You can also try Buffer, Hootsuite, or Canva’s built-in scheduler.)
I repurpose every newsletter into multiple formats:

✳️ Face-to-camera clips
✳️ Blog posts
✳️ LinkedIn carousels
AI has become my quiet co-pilot in this process. I use it to extract key insights, reframe tone, or brainstorm content angles. It doesn’t replace my voice — it enhances it.
How it works:
Every quarter, I map out 6–8 newsletter themes → turn each one into 2–3 LinkedIn or Instagram posts → and pull key lines into future workshops or talks.
That one rhythm keeps my brand visible without burning me out.
2. Client + Project Systems: Clarity > Chaos
Goal: Keep client work smooth and team aligned, even while I’m offline.
When I started building my business, client work ran on emails and mental checklists. Now, everything runs through systems with clarity at every step.
Here’s my current setup:
- ClickUp — my home for project management and delivery timelines.
- Google Sheets — for tracking client milestones and payments.
- PandaDoc — for contracts and signatures (DocuSign is another great option).
- Wave — for invoicing and bookkeeping (QuickBooks and FreshBooks are also strong).
- Email + Zoom + Google Docs — for communication and calls.
- Loom – to record walkthroughs or SOPs (way faster than meetings).
My onboarding is fully documented through SOPs, everything from creating a new Google Drive folder to sending the first contract and welcome email.
Automations trigger onboarding templates so that every client gets the same professional experience with minimal effort on my end.
System insight:
I have one rule for my team: If it happens twice, it needs a system.
That single mindset has cut meetings in half and reduced confusion dramatically.
3. Operations + Admin Systems: Automate the Repetitive Stuff
Goal: Eliminate small tasks that eat up focus time.
This is where the “invisible” systems make the biggest difference.
- Zapier — connects my tools together: automating client onboarding, form submissions, and content workflows.
- Google Drive — houses all deliverables, templates, and SOPs.
- Google Sheets — tracks metrics, KPIs, and monthly performance snapshots.
I don’t use fancy dashboards, just clean spreadsheets that keep my finger on the pulse.
Because simplicity scales.
If you’re tracking metrics manually, set a recurring 30-minute “Ops Review” on your calendar once a month. Look at leads, conversions, revenue, and energy — yes, energy counts.
Example automation:
When a new client signs → contract + invoice auto-send → onboarding form → welcome email → ClickUp project auto-created.
That one automation saves me over 3 hours per client.
4. Personal Productivity System: Rhythm Over Hustle
Goal: Protect creative energy and avoid context switching.
Even with the best tools, growth depends on rhythm.
And yes, I still follow my 7-Figure Operating Rhythm:
- CEO Mondays – Strategy, numbers, and direction.
- Deep Work Tuesdays & Wednesdays – Focused creation and delivery.
- Collaboration Thursdays – Team, clients, partnerships.
- Reset Fridays – Reflection and prep for the week ahead.
I use a mix of ClickUp for task tracking and a small whiteboard on my desk for daily to-dos.
There’s something grounding about crossing things off by hand.
And every morning before I start work, I pause, take a deep breath, and visualize my three-year vision.
It’s five minutes that sets the tone for everything I do.
